Keeping our project on track

Now you’re booked in my schedule, we’ll start using my project management tool, ClickUp.

A project management tool is a secure space online used to have conversations, share files, set reminders, and create to-do lists.

Things can get missed when managing projects through email, nothing gets lost or forgotten in ClickUp. It’s the simplest way to keep our project organised and make sure it goes as smoothly as possible!

Don’t worry – you won’t need to pay for this tool and it’s not hard to use. I’ll take you through it when the time comes.

Content Prep & Gathering

Inspiration

From my proposal you will hae seem initial ideas for the redesign. 

Not sure where to start? You can search Google for images that resonate with the way you want your website to feel/look and simply upload them to the ‘Inspiration’ task inside our ClickUp project. Upload screenshots of design elements, styles you like or specific elements you’d like to include.

Your website content

In order to keep to timeframes and deadlines set, I will need as much of the content as possible for your website before I start the development phase of the project.

A content guide will be email through to help you structure and be intentional with your content to focus on getting that content found on Google (SEO) and moving customers to take action. We will also discuss this in our strategy session.

You will need to provide the text for all pages and supply your branding and any particular images you want to be used on the site. A dedicated, shared Dropbox or Google Drive folder will be set up to upload all the project content in so we both have access to it.

Communication

During our project, we’ll use ClickUp to keep track of all our tasks and deadlines, and keep all communication in one place.

You have unlimited email & Zoom support through the project. All Zoom calls will be recorded.

I will present my design via Loom (video recording). We will use Zoom to go through the presentation feedback and questions live – I’ve found that this really helps the project to progress faster!

Commenting on a task via ClickUp is the best way to ensure a speedy response or via email at hello@sm-webdesigns.co.uk.

I do not have social media channels open during the working day, so please do not message, dm or WhatsApp me.

Office hours

My working hours are set around the school day, so I work Monday to Friday 9am to 4pm. I check my emails daily, aiming to respond as soon as possible and within 48 hours.

Revision sets

I work on the basis that it will take no more than three rounds of refinements to get your website design perfect. By grouping your feedback into rounds like this, the process runs super smoothly and ensures we finish on your set date.

NB: You can have an unlimited amount of changes each time, so long as they are within the three sets of feedback.

Your project includes:

3 sets of design revisions

✶ 2 sets of development revisions

If for any reason we need more rounds of refinements, we can draw up another contract and invoice.

I’ll send you an email with a link to the design for you to review. You’ll then have a minimum of 2 days to submit your feedback. If you need a little longer then let me know.

I get that sometimes it’s better to talk about feedback, so I’ll always send you a link where you can book a call with me to discuss. Sometimes I might request that we have a chat, so we can get specific and be super clear moving forward.

Giving feedback

At different stages throughout the project, you will be asked to provide feedback on design concepts, colours, fonts, etc. Providing feedback can be hard, but it’s important to make it constructive to ensure the project can move forward smoothly.

I really appreciate simple and straightforward feedback. It helps me clearly understand your thoughts and make the right changes to your designs.

KEEP YOUR IDEAL CLIENT IN MIND

This project is of course very close to your heart but it’s important to always keep your target audience top of mind and not get caught up in personal preferences. Therefore, instead of sharing what you like/dislike personally, try to view it from your Ideal Client’s eyes and think about how would they react to the design. Remember, at the end of the day, this project is all about them!

BE AS SPECIFIC AS POSSIBLE

Vague or contradicting feedback can create confusion and set us back, therefore try to be as specific as possible when providing feedback. Focus on one element at a time and try to explain why you like/dislike something and provide a suggestion on how I could improve it. For example, instead of saying “I don’t like this colour”, try “I don’t think this colour will appeal to our audience because […]. Perhaps we could try a warmer colour?”

ASK QUESTIONS & TRUST MY EXPERTISE

My design process is very intentional and I always ensure that each element is built with purpose. So while I will do my best to walk you through my thought-process, don’t hesitate to ask questions if you’re unsure about something. This also helps show that you value my opinion and trust my expertise – at the end of the day, there’s a reason why you chose me as your Partner for this project, right?

Here are a few tips on providing awesome feedback:

  • ✶ Try and use bullet points to break up your feedback.
  • ✶ Use headers to organise your feedback.
  • ✶ Read over your feedback to make sure it’s clear and check that you’ve answered any questions I may have asked.
  • ✶ Post your feedback as a comment on the relevant ClickUp task instead of emailing me directly. Back and forth emails can get confusing, but communicating in Click Up is a breeze!
  • ✶ If you have team members that would like to add their feedback, I kindly ask that you gather the feedback into one message. This stops everyone from getting confused and keeps the project organised.

To help keep your project on track to finishing on time, please provide feedback within two business days of receiving them. 

I really appreciate your effort to provide files and feedback on time. Timeliness from both of us will help us get your project complete so you can move on to the next exciting task on your to-do list and I can cheer you on.

Tools we’ll use

ClickUp

ClickUp is the main tool we’ll use for your project. This is where we will keep track of all conversations, tasks and deadlines. You’ll be able to get a clear overview of your project at any time within the app.

DropBox

I use DropBox/Google Drive (whichever you prefer) to store all my project files. At the end of the project, I’ll send you a link to download your files and store them in a safe place as the link is only available for 30 days after project end.

Dubsado

Dubsado is my go-to client management system. This is your client portal, where you will find all your invoices, contract and questionnaires you fill out during the project.

Zoom

We’ll use Zoom for all our consultation calls. Zoom is great because it allows us to see each other (almost like a real coffee date!) and I can share my screen to take you through presentations for easy live feedback.
